Terms and Conditions - The Soul Space Retreats
By making payment for a retreat, you confirm that you have read, understood, and agree to these Terms and Conditions.
BOOKING AND PAYMENT
A deposit is required to secure your place on a retreat. Your booking is confirmed once the deposit has been received. The remaining balance must be paid by the stated due date.
Our cancellation policy is designed to fairly allocate costs that arise from cancellations, as many retreat expenses are committed and paid in advance.
No one books a retreat with the intention of cancelling it, but unexpected events do occur, so please consider purchasing travel insurance and that it is your responsibility to read and understand our cancellation policies.
If the remaining balance is not paid by the due date, we reserve the right to cancel your booking and retain your deposit.
CANCELLATION POLICY
All deposits are non-refundable.
Once the final balance has been paid, the retreat is non-refundable.
If you cancel your place on the retreat, for any reason, we are unable to offer a refund. However, if we are able to fill your space, we may, at our discretion, offer a partial refund.
Refunds cannot be provided where the retreat proceeds as planned, including in cases of illness (this includes COVID), injury, travel disruption, weather, personal emergencies, or changes in personal circumstances.
No refunds will be given for failure to attend, arriving late, or leaving early.
By booking, you acknowledge that retreat costs (including accommodation, catering, venue hire, and other arrangements) are committed in advance. In the event of cancellation or non-attendance, these costs cannot usually be recovered and spaces are often difficult to fill at short notice. For this reason, payments are non-refundable.
Cooling-Off Period (Consumer Contracts Regulations) Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, consumers may have a right to cancel certain services within 14 days of booking. However, this right does not apply to accommodation, transport, catering, or leisure services provided on specific dates. As all retreats offered by The Soul Space Retreats are for specific dates, the 14-day cooling-off period does not apply to your booking.
Goodwill Payments: Any refunds, credits, or transfers offered outside of these terms are made at our discretion as a gesture of goodwill and do not create any obligation for future bookings.
In the event that you are unable to attend due to circumstances outside your control, including but not limited to travel disruption, illness, government restrictions, war, natural disasters, or airline cancellations, our standard cancellation policy still applies and refunds cannot be provided where the retreat proceeds as planned.
TRANSFERS TO ANOTHER RETREAT
If you are unable to attend your booked retreat, transferring your booking to another retreat is not normally permitted. However, if you cancel at least 60 days before the retreat start date and we are able to resell your space, we may, at our discretion, allow you to transfer your booking to a future retreat within 12 months.
Transfers are not guaranteed and depend on the space being filled and availability on another retreat. An administration fee may apply for any approved transfer.
RETREAT CANCELLATION BY US
We reserve the right to cancel a retreat due to insufficient participants or circumstances beyond our control. In this case, all money paid to us for the retreat will be refunded in full.
We are not responsible for any travel costs, flights, accommodation outside the retreat, or other expenses incurred by guests.
We recommend that guests do not book non-refundable flights or travel until the retreat has been confirmed.
TRAVEL INSURANCE
All guests are required to have their own travel insurance that covers cancellation, medical costs, travel disruption, and personal belongings.
The Soul Space Retreats do not accept any liability for cancellations, delays, or changes caused by events outside our control including (but not limited to): war, threat of war, terrorism, civil unrest, natural disasters, pandemics, airport closures, airline cancellations, travel restrictions, industrial action, or technical transport issues.
It is your responsibility to ensure you have adequate travel insurance.
The Soul Space Retreats are not responsible for the loss or damage to any of your belongings while on a retreat or while you are traveling to or from our retreat. We are not responsible for any problems you encounter while you are traveling to and from the retreat venue, including problem with flights, immigration or any other matter.
It is your responsibility to ensure you have the correct visas, travel documentation and that you are legally able to enter the country where the retreat is taking place. All flights and flying arrangements are your responsibility. We are not responsible for the acts or omissions of third-party providers including airlines, transport providers, accommodation venues, or activity providers.
Our liability to you is limited to the total amount you have paid for the retreat. We are not responsible for any indirect losses, travel costs, loss of enjoyment, missed flights, or additional expenses incurred.
CHANGES TO RETREAT
We reserve the right to make reasonable changes to the retreat schedule, teachers, activities, or accommodation where necessary.
PRE-EXISTING MEDICAL CONDITIONS AND MEDICAL CONCERNS
By attending the retreat, you accept that you participate in all activities at your own risk. The Soul Space Retreats are not liable for injuries, illness, loss, or damage to personal belongings, which may develop during or subsequent to the retreat.
Guests must inform us of any relevant medical conditions, surgeries that you have had, allergies, intolerances or injuries prior to the retreat, as it may not be possible for you to undertake all of the activities included in the retreat.
These Terms and Conditions constitute the entire agreement between you and The Soul Space Retreats and no other statements or representations shall apply unless confirmed in writing.
This agreement is governed by the laws of England and Wales.
